  • Overview

    The Event Coordinator works directly with leaders throughout the company as well as with his/her team members to facilitate events for Virginia Media. The Events Team is responsible for facilitating the planning and execution of tasks related to events.  The Event Coordinator will assist the Events Team in managing event timelines, budgets, and processes; provide research to assist in decision making, and provide execution assistance after decisions are made.  It does not involve sales or design.

    • Work with company leaders and events team to understand and document the goals of the event and scope of the work to be done
    • Assist in updating and managing event pro formas, timelines, budgets, execution steps and logistical assignments
    • Maintain the timeline, budget and task list, organize information and facilitate decisions and execute tasks once decisions are made
    • Ensure proper communication and updates, provide past perspective, vendor options and other information as needed
    • Utilize best practices and make on-the-ground decisions as necessary to ensure smooth and successful event execution within defined boundaries and scope
    • Work with company leaders to prioritize requests based on potential project revenue/profit and likelihood of success, level of importance to business unit strategy, complexity and involvement of multiple departments and current ability for team to execute
    • Hold formal update meetings or provide written updates on a mutually agreed schedule, in addition to impromptu meetings/communication as needed
    • Keep accurate and complete records to ensure that Events Team can serve as a record keeping area for the company on all events
    • Ensure proper billing of all event related revenue
    • Process requests for COIs, new vendor forms, invoice payments and other related items
    • Researches event opportunities and works with leaders throughout the company to determine which we should pursue
    • Manage multiple events and projects at the same time
    • Meet with the Events Team regularly to provide overview of projects and current status to create backup and awareness
    • Demonstrate commitment to Leveraging Difference in problem solving and in working with others


    • Effective written and oral communication skills
    • Demonstrated ability to successfully build trust
    • Demonstrated effectiveness at managing change, solving problems, making decisions, and resolving issues
    • Demonstrated success managing past event tasks; maintaining timelines, staying within budget, communicating information, prioritizing and executing needed tasks
    • Demonstrated experience with facilitating, planning and executing event tasks
    • Extremely high level of attention to detail
    • Highly proficient in Microsoft Excel, PowerPoint and Word
    • Ability to quickly adapt to new software and systems
    • Ability to multi-task, prioritize, and handle stressful situations

    Preferred Qualifications:

    • Experience working with Cvent software
    • Demonstrated knowledge of the media industry
    • Familiarity with basic social media marketing
    • College degree in communications, advertising, marketing or related field
